Team Workspaces
Request a Shared Workspace
Users with a Power BI Pro or Premium Per User (PPU) license receive a personal workspace called “My Workspace” at app.powerbi.com. This workspace is intended for testing and for storing personal reports or dashboards that are not meant to be shared. Sharing content from “My Workspace” is not permitted under the school policy. Any content that needs to be shared must be published through a team Workspace.
The image below is an example of “My Workspace.” Please do not click the Share button or share any reports from My Workspace. If a report needs to be shared, publish it through a team workspace instead.

A Team Workspace is a shared Power BI workspace used to collaborate, publish, and distribute reports and datasets to others.
Access to all Team Workspaces must be granted through approved User Groups. Do not add individual users directly to a Workspace.
To request access to a User Group that grants permission to a Workspace or Workspace App, use the designated request process (see buttons above).
If you receive a direct link to a Workspace or Workspace App, contact the Workspace owner for instructions on requesting access through the appropriate User Group.
If a new User Group is required, use the button above to submit a request for group creation.
Do not assign workspace access directly to individual users. The recommended best practice is to manage access through security groups, which simplifies permission management, improves scalability, and helps maintain a secure and organized environment

The following requirements must be met before sharing content with others:
- A Team Workspace must be established. Information on how to request a Team Workspace is provided below.
- User Groups must be created for the Team Workspace.
- Review the policies governing content sharing by clicking here.
- User Groups must be properly linked to the Team Workspace.
How to Request a Shared Workspace
Include the following information in your request:
- Desired Workspace name
- Desired Workspace description
- Any existing KeyAccess groups that should be added to the Workspace
During the Workspace creation process, four KeyAccess groups will automatically be created and assigned to the Workspace with the permission levels listed below:
- Admin group – gp-PBI-[WorkspaceName]-Admin
- Member group – gp-PBI-[WorkspaceName]-Member
- Contributor group – gp-PBI-[WorkspaceName]-Contributor
- Viewer group – gp-PBI-[WorkspaceName]-Viewer
What to expect:
- The BI Platform team will create the Team Workspace.
- The four User groups listed above will be provisioned.
- The requestor will be added to the Admin group.
- A member of the BI Platform team will contact you to finalize the request.
