My Workspace
  • Power BI Pro or Premium Per User (PPU) license are provided a personal workspace called “My Workspace” at App.PowerBI.com. Use your personal Workspace as a testing environment and to store reports or dashboards that are intended for your use only and not for sharing. Sharing content from “My Workspace” is not permitted under policy.

Team Workspace
  • All content intended for sharing in Power BI must be published through a Team Workspace.
  • Access to Team Workspace must be assigned through approved User Groups. Do not grant Workspace access directly to individual users.

Reports and Dashboard
  • Power BI provides simple sharing options; however, using the Share feature to send links directly to individual users is not permitted. The Share function may be used only to grant access to approved User Groups.

Power BI Sharing Policy
  • Access to Power BI Workspaces and the content within them must be granted through groups, not individual users.
  • Power BI groups must be dedicated solely to Power BI and must not be reused for other applications or purposes.

Policy Violations

If the Workspace Access Policy is violated, the following automated actions will occur:

  • The user and their manager will receive an email notification indicating that the policy has been violated.
  • Any user added directly to the Workspace, along with any other users who have access outside of an approved group, will be automatically removed.

Sensitivity Labels

Applying Sensitivity Labels

  • Per BYU–Hawaii Information Security and Data Classification policies, all university data must be assigned an appropriate Sensitivity Label based on its level of confidentiality. Follow the steps below to apply sensitivity labels in Power BI.

Setting Sensitivity Labels in Power BI Desktop

  1. Open your report in Power BI Desktop.
  2. From the Home tab on the ribbon, select the Sensitivity icon.
  3. Choose the appropriate sensitivity label for the dataset (semantic model), report, or dashboard.
  4. For additional information about Microsoft Information Protection features, refer to Microsoft’s documentation.

Setting Sensitivity Labels in the Power BI Web Service

  1. Navigate to the report that does not yet have a sensitivity label applied.
  2. Click the three dots (ellipsis) next to the report and select Settings.
  3. In the Settings panel, locate Sensitivity label.
  4. Use the drop-down menu to select the appropriate classification level.

Power BI Standard Report Template and Theme
  • The following Power BI standard report template and theme are used at BYU–Hawaii to ensure reports are consistent, professional, and aligned with university visual standards. All new Power BI reports are required to use this template and theme.
